A. Create a Company File Backup

It’s a recommendation from us to create the company file backup because if there is any fallback in between the troubleshooting, you’ll not lose any of your company data.

  • Open QuickBooks
  • Go to File > Back Up Company > Create Local Backup
  • Choose the type of backup
    > Online Backup
    > Local Backup
  • Then click Next

Now follow the on-screen instructions to create a company file backup.

B. Update the QuickBooks Desktop to the latest version

  • Open QuickBooks Desktop
  • Go to Help > Update QuickBooks Desktop…
  • Click on Update Now
  • Click on Get Updates
  • It may take some time to update the QuickBooks Desktop
  • Then restart QuickBooks Desktop

7 Simple Steps to Fix an Error: Incorrect Credentials or Gmail Settings in QuickBooks Desktop

Step 1: Ensure about the Forms Preferences

  • Go to Edit > Preferences…
  • Choose Send forms
  • Under My Preferences
  • Click on Edit Email to open the email info window
  • Click Email Provider
  • Select Gmail
  • Now enter your email Server Name and Port. You can get this information directly from your email profile
  • Then check the SSL/TLS
  • Click OK and Done

Step 2: Repair QuickBooks Desktop

  • Close QuickBooks Desktop
  • Press the Windows+R keys to open the Run command
  • Type Control and click OK
  • Click on Programs > Programs and Features
  • Make a double click on QuickBooks Desktop from the program list
  • If asks, click on Yes
  • Click on Next
  • Choose Repair and click Next
  • Click Repair
  • Now it may take some time to repair the QuickBooks Desktop

Step 3: Verify and Rebuild the Data

Verify Data

  • Go to File > Utilities
  • Select Verify Data
  • Click OK
  • The process starts to validate the company file, it may take some time depending on the file size
  • Click OK to see the company file status

Rebuild Data

  • Go to File > Utilities
  • Select Rebuild Data
  • Click OK
  • Choose the type of backup
    > Online Backup
    > Local Backup
  • Click Next
  • Follow the on-screen instructions to back up the company file
  • After creating the backup, it starts rebuilding the company file automatically
  • Once the Rebuild competes

Step 4: Turn off the Two-Step Verification

  • Go to https://myaccount.google.com/
  • Click on the Security Tab
  • Under Signing in to Google, choose 2-Step verification
    > If 2-step verification is Off, follow the Step 3.
    > If 2-step verification is On, click on it and then enter your email password
  • Then click Next
  • Now click Turn Off

Step 5: Ensure that Access for Less Secure App is On

To Turn On the access for a less secure app, 2-step verification must be Turn Off. Then follow the below process:

Step 6: Ready with your email SMTP Server details

  • Go to Google Help Center
  • Click on the Change SMTP & other settings in your email client drop-down menu
  • Now you can see your email server information

Step 7: Setup your email to QuickBooks Desktop

  • Open QuickBooks Desktop
  • Go to Edit > Preferences
  • Click Send Forms
  • Under the My Preferences
  • Click on the Edit Email Info
  • Now go to the SMTP Server Details section and enter your email server name and port
