Things to do Before fixing this Problem

1. Update QuickBooks Desktop

  • Open QuickBooks Desktop
  • Then go to Help > Update QuickBooks Desktop
  • Then click on Update Now to the top right corner
  • Click Get Updates
  • Once Update is complete, close QuickBooks

2. You need to ensure that printer is connected to the computer and running with the latest updated drivers.

6 Simple Steps to Fix “Cannot Print in QuickBooks Desktop” Issue

Step 1: Ensure about Printer

You may need to check that your printer is working outside of the QuickBooks desktop.

  • Open any text document such as Notepad
  • Now type “Test”
  • Click on File > Print…
  • Then click Print

If your printer doesn’t print the text document, please proceed further with Step 2.

If your printer prints the text document, please proceed further directly to Step 3.

Step 2: Check Printer Settings

  • Restart your printer and computer
  • Now press Windows+R keys to open the Run command
  • Now type Control and click OK
  • Choose Hardware and Sound > Devices and Printers
  • If the printer status is Offline make a right-click on Use Printer Online
  • If the documents in the queue to print, cancel all of them
  • Now print the test page again

If the printer still doesn’t work, you may need to contact the printer manufacturer’s support. They can help you to fix this issue.

Step 3: Download and Install QuickBooks Tool Hub

  • Download QuickBooks Tool Hub and go to your download by pressing CTRL+J
  • Under your downloads list click on QuickBooksToolsHub.exe
  • Click Yes to allow this app to make changes
  • Now click on Next to install it and then click Yes again for accepting the license agreement
  • Click on Next and then Install (It may take some time)
  • Once the installation is complete click on Finish
  • Now open QuickBooks Tool Hub (Icon will be available on the desktop)

Step 4: Run Print and PDF Repair Tool

  • Open QuickBooks Tool Hub
  • Go to Program Problems > QuickBooks Print & PDF Repair Tool
  • It may take some time to repair
  • Once it’s completed. Try to print again in QuickBooks

If you’re still unable to print in QuickBooks Desktop, please proceed further with the below troubleshooting steps.

Step 5: Rename the QBprint.qbp File

If the QuickBooks Tool Hub didn’t work out for you. You can rename the QBprint.qbp manually.

You may need to show the hidden files and folders before renaming the file. To do that:

Windows 10

  • Press Windows+E keys together to open File Explorer
  • To the top menu, select the View tab > Hidden items

Windows 8

  • Make a right-click on a Start button and select Control Panel
  • Click on Appearances and Personalization > Fonts > Folder Options
  • Under the folder options window select the View tab, select Hidden files and folders and choose Show hidden files, folders, and drives.
  • Click Apply and then OK

Windows 7

  • Click on Start and then select Control Panel
  • Click Appearances and Personalization
  • Under folder options click Show hidden files and folders

Important: As Windows 7 is no longer supported by Microsoft. It’s recommended to upgrade to the latest Windows.

To rename the file:

  • Go to C:\ProgramData\Intuit\QuickBooks 20XX. XX represents the QuickBooks version.
  • Make a right-click on QBPRINT.QBP and choose Rename
  • Change it to QBPRINT.QBP.old and click Save(See an image below)
  • Open QuickBooks Desktop
  • Go to File > Printer Setup…
  • Choose one of the reports under Form Name and click OK
  • This way it’ll create a new QBPRINT.QBP file

Step 6: Verify the Printer Connection

If none of the above steps work out for you. Ensure that you have the correct printer connected to print in QuickBooks.

To do that:

  • Go to File > Printer Setup…
  • Choose the type of Form you want to print such as Invoice, Graph, etc.
  • Under the Printer name, ensure that the selected printer is correct. If not, click on the drop-down arrow to choose the correct printer
  • Then click OK

Now try to print again and see if the same problem still exists. If Yes, choose a different option to print.

  • Go to File > Printer Setup…
  • Choose the type of Form you want to print such as Invoice, Graph, etc.
  • Under the Printer name, select the different printer such as OneNote for Windows 10 on Microsoft Office.
