QuickBooks Was Unable to Back Up your Company File

6 Simple Steps to Fix an Error “Unable to Backup QuickBooks Company File”

Step 1: Update QuickBooks Desktop

  • Open QuickBooks Desktop
  • Go to Help > Update QuickBooks Desktop…
  • Select the Update Now tab from the top and click Get Updates
  • Once Update is complete, click on Close

Step 2: Verify and Rebuild the Data

Verify Data

  • Go to File > Utilities
  • Select Verify Data
  • Click OK
  • The process starts to validate the company file, it may take some time depending on the file size
  • Click OK to see the company file status

Rebuild Data

  • Go to File > Utilities
  • Select Rebuild Data
  • It may ask to create a backup and you may encounter the same problem. If it happens, please proceed further with the below steps.

Step 3: Change the company file backup path

Before you change the company file backup path, it’s suggested to create a test folder on the desktop.

  • Make a right-click on the Desktop screen
  • Select New > Folder
  • Give a name to the folder as “Test”

Now open the QuickBooks Desktop to change the company file backup path

  • Go to File > Back Up Company
  • Click Create Local Backup
  • Choose Local Backup and click Next
  • Choose Browse…
  • Select Desktop and click on the “Test” folder that we created
  • Click OK
  • Click OK again
  • Choose to Save it now and click Next
  • Click Save

If you encounter the same error message, please proceed further with the below steps but if not that means there was a problem with the previous backup location.

Step 4: Download and Run QuickBooks File Doctor

  • Download QuickBooks Tool Hub and go to your download by pressing CTRL+J
  • Under your downloads list click on QuickBooksToolsHub.exe
  • Click Yes to allow this app to make changes
  • Now click on Next to install it and then click Yes again for accepting the license agreement
  • Click on Next and then Install (It may take some time)
  • Once the installation is complete click on Finish
  • Open QuickBooks Tool Hub (Icon will be available on the desktop)
  • Under the Company File Issues tab click on Run QuickBooks File Doctor
  • Click on Browse to select the company file
  • Select Check your file and network
  • Click Continue
  • Enter QuickBooks Admin password and click Next

Now scan begins, it may take some time depending on the company file size. Once the scan finished, your issue may be resolved. If not, please proceed further with the below steps.

Step 5: Move the Company File to the Another Location

  • Press Windows+E keys together to open File Explorer
  • Click This PC on the left panel on your computer
  • Now type *.QBW under the search tab that you can see to the top right corner to open the company file
  • It may take some time to show the company file. Once you can see the company file make a right-click and select Properties
  • Now you can see the location of the company
  • Make a right-click on the company file and click Copy

Create a Test Folder on the Desktop

  • Make a right-click on the Desktop screen
  • Select New > Folder
  • Give a name to the folder as “Test”
  • Open the Test folder and make a right-click and choose Paste to move the file

Now open the file from Test folder

  • Open QuickBooks Desktop
  • Go to File > Open or Restore Company…
  • Choose Open a Company file
  • Click Next
  • Choose Desktop and open the Test folder
  • Select the company file and click Open

Now the company file is open from another location, try to create the backup, and if the same problem still exists, please proceed further.

Step 6: Remove Special or additional character from the Company file name

You need to remove the additional character from the company file name to fix this issue.

Navigate to the company file location

  • Press Windows+E keys together to open File Explorer
  • Click This PC on the left panel on your computer
  • Now type *.QBW under the search tab that you can see to the top right corner to open the company file
  • It may take some time to show the company file. Once you can see the company file make a right-click and select Open File Location

To remove special or additional characters from the company file

  • Make a right-click on the company file
  • Choose Rename
  • It’s suggested to keep the reliable name of the company file without special characters
  • Open QuickBooks
  • Choose Open or restore an existing company
  • Select Open a company file and click Next
  • Navigate to the company file location and then click Open

Try to back up the company file again.
