QuickBooks Multi-User Permission Issues

Sometimes while setting up a company in multi-user mode doesn’t work. You may receive QuickBooks Multi-User Permission Issues such as “You do not have sufficient permissions to the specified folder. To use Quickbooks in a multi-user environment, you must have read/write access and create/delete rights to the folder where the company is stored.

Simple Steps to Fix QuickBooks Multi-User Permission Issues

Step 1: Download and Install QuickBooks File Doctor

This warning can be fixed by running the QuickBooks File Doctor, it may take some time to resolve depending on your company file size. Also, close your QuickBooks Desktop. To download and Install file doctor follow the below steps:

  • Download QuickBooks Tools Hub and go to your Downloads by pressing CTRL+J
  • Under your downloads list click on QuickBooksToolsHub.exe
  • Click Yes to allow this app to make changes
  • Now click on Next to install it and then click Yes again for accepting the license agreement
  • Click on Next and then Install (It may take some time)
  • Once the installation is complete click on Finish
  • Now open QuickBooks Tool Hub (Icon will be available on your desktop)
  • Under Company File Issues tab click on Run QuickBooks File Doctor (See an image below)

Step 2: Run QuickBooks Desktop as an Administrator

  • Close QuickBooks
  • Then right-click on QuickBooks Desktop and select Properties
  • Click on the Compatibility tab, select Run this program as an administrator
  • Now click Apply and OK

If the same problem still exists after following the above 2 steps please proceed further with the below ones too.

Step 3: Move the Company File to the Default Location

  • Close QuickBooks
  • Locate to your current company file location
  • Right-click on the company file(QBW) and click Copy(Ctrl+C)
  • Now move your company file to the default location which is C:\Users\Public\Documents\Intuit\QuickBooks\Company Files and then make a right-click and select Paste(Ctrl+V)
  • Now open QuickBooks company file from the default location

Step 4: Move your Company File into the New Folder

  • Create a New Folder into the same directory
  • Now Copy your company file into the new folder
  • Then open the Company file from the new folder but make sure to set permissions into the new folder to access the company file. To do that:
  1. Make a right-click on the New Folder and choose Properties
  2. Now select the Security tab and click Advanced
  3. Under the Permission entries select QBDataServiceXX and select Edit
  4. Click on Show advanced permissions
  5. Make sure below permissions set as Allow (See a table and image below)

You do not have sufficient permissions to the specified folder. To use Quickbooks in a multi-user environment, you must have read/write access and create/delete rights to the folder where the company is stored.

Once permissions are set please proceed further to open the company file from the New folder

  • Go to File > Open or Restore Company…
  • Select Open a company file and click Next
  • Browse to the New Folder and select your company file
  • Then click Open

Step 5: Test or Set Folder Permissions

  • An open text editor such as Notepad, Word
  • Type TEST into it
  • Then Save(Ctrl+S) it to the same location where your company files are located
  • If the text edit gets saved it means your folder has all the permissions but if not set folder permissions.
  1. Make a right-click on the folder that contains your company file and choose Properties
  2. Now select the Security tab and click Advanced
  3. Under the Permission entries select QBDataServiceXX and select Edit
  4. Click on Show advanced permissions
  5. Make sure below permissions set as Allow (See an image below)
